The Moment Every Shop Owner Dreads
You are doing your annual stock count. You open the drawer for iPhone 13 screens and count 4. Your software says 11. Seven screens are gone — ₹28,000 of inventory, disappeared without a trace.
Was it theft? Did someone break them during repairs and not report it? Did a GRN entry get messed up 6 months ago? You have no way to know. The trail is completely cold.
This happens in virtually every mobile repair shop in India that does not have a systematic, frequent stock verification process. And the worst part — it is entirely preventable.
---
What Is Stock Verification?
Stock verification is a physical count of your actual inventory compared against what your management software says you have.
The gap between the two numbers is called a discrepancy. The total financial value of all negative discrepancies is your shrinkage.
A simple formula:
Shrinkage = (System Quantity − Physical Quantity) × Cost Per Unit
For the iPhone 13 example: 7 screens × ₹4,000 = ₹28,000 lost.
Most shop owners run this calculation once a year during their annual closing and are horrified by the result. Then they promise themselves they will do it monthly. Then they forget. Then the annual horror repeats.
The solution is not willpower. It is a system.

Why Annual Stock Counts Fail
Big annual stock counts feel productive. In reality, they fail in three ways:
- ✦You cannot investigate cold losses. An iPhone screen that went missing in March cannot be investigated in December. Staff memory has faded. CCTV footage is long gone. All you can do is write it off.
- ✦The count itself is unreliable. When your entire team is exhausted, counting 3,000 items in a day, errors compound. Your verified count might itself be wrong.
- ✦You fix nothing. Even if you identify ₹2 Lakhs in shrinkage, you have no idea what caused it — so you cannot change the process that allowed it.
---
The Right System: Weekly Micro-Counts with Reasons
Instead of one big count per year, do a small count every day — rotating through categories:
- ✦Monday: Count all iPhone spare parts (screens, batteries, cameras)
- ✦Tuesday: Count all Samsung spare parts
- ✦Wednesday: Count batteries and charging accessories across all brands
- ✦Thursday: Count tempered glass and back covers
- ✦Friday: Count cables, earphones, and small accessories
This is 10–15 minutes per day. By the end of the week, you have counted everything. By the end of the month, you have counted everything four times.
And crucially — when you find a discrepancy, you investigate it today, while memory is fresh and clues still exist.

The Most Important Part: Recording the Reason
Raw discrepancy numbers are interesting. Categorized reasons are actionable.
MobiBix stock verification requires you to select a reason for every difference:
- ✦Breakage — Item physically broke during storage or handling
- ✦Damage — Damaged in demo, display use, or transit
- ✦Lost / Missing — Cannot be located; possible theft or misplacement
- ✦Spare Part Damage — Part broke during a repair job (battery swelled, flex tore during disassembly)
- ✦Internal Use — Demo, staff personal use, gifted to a customer
- ✦Data Correction — Fixing a past entry error (wrong GRN count, billing mistake)
When you look at your Shrinkage Intelligence report 60 days later and see that Spare Part Damage is ₹18,000 and all of it is Samsung AMOLED displays, you know exactly what to do: retrain your technician on AMOLED display replacement technique, or invest in a better screen separator tool.
Without categorized reasons, you just see ₹18,000 missing and have no idea why.

How MobiBix Stock Verification Works
Step 1: Start a session. Go to Tools → Stock Verification. Click Start Verification and choose today's date. One active session runs at a time per shop.
Step 2: Enter your physical counts. For each product, type in the number you physically see on the shelf. The System column shows what MobiBix thinks you have. Differences are highlighted automatically — green for surplus, red for loss.
Step 3: Select a reason for every difference. Anytime physical count differs from system count, the Reason dropdown activates. You must pick a reason before confirming. This enforces accountability without requiring separate paperwork.
Step 4: Save Draft. Not done in one sitting? Click Save Draft. Your counts are saved. Pick it up tomorrow from the same screen.
Step 5: Confirm & Apply. When all counts are entered, click Confirm & Apply. MobiBix will update every product's stock quantity, write a permanent entry in the Stock Ledger, and feed all loss data into Shrinkage Intelligence immediately.

The Summary You See Before Confirming
Before you hit Confirm, MobiBix shows you a live summary:
- ✦Items Checked: How many products you entered counts for
- ✦Mismatches: How many showed a difference
- ✦Loss Value: The total financial value of all negative differences, calculated using your Weighted Average Cost per product
This gives you a chance to review before the adjustments are locked in.

What Shrinkage Intelligence Does With Your Data
Every confirmed session automatically feeds MobiBix's Shrinkage Intelligence dashboard. You see:
- ✦Total Loss Value over any date range you choose
- ✦Loss by Reason — Is Breakage your biggest problem? Or is it Lost/Missing?
- ✦Loss by Category — Which product type bleeds the most money?
- ✦Top 10 Loss Products — The specific items that cost you the most
- ✦Monthly Trend — Is your shrinkage improving or worsening each month?
- ✦Loss by Staff — Which sessions show the most losses?
After 30–60 days of consistent weekly counts, you will have enough data to make real operational decisions.

A Real Scenario
A shop started weekly counts in January. By March, their Shrinkage Intelligence showed:
- ✦₹22,000 in Spare Part Damage — Samsung OLED displays
- ✦₹8,500 in Breakage — Tempered glass in the accessories corner
- ✦₹3,200 in Lost/Missing — USBC cables
Three specific actions fixed all three:
- ✦The OLED losses traced to one technician using a heat gun that ran too hot. Retraining cut losses 80% in 30 days.
- ✦The glass breakage traced to one overcrowded shelf. Reorganizing the shelf fixed it in an afternoon.
- ✦A lock was added to the USBC cable drawer.
Total investment: ₹0. Total loss prevented in the next quarter: estimated ₹50,000+.
